Why HR Portals Hate Your Timesheet — And You Hate Them Back

HR systems are necessary. Their timesheet UX is not. Here is how to keep the system and lose the friction.

Why HR Portals Hate Your Timesheet — And You Hate Them Back

HR systems are not built for the people filling out timesheets. They are built for compliance, payroll, and audit. Those are real, valid jobs. They are also why the timesheet UI looks the way it does — gridded, slow, and full of dropdowns that do not remember your last selection.

Fighting the portal is unwinnable. You will not redesign Workday this quarter. The trick is to not enter data into it directly.

The friction tax we pay every week

  • Clicking through multi-step wizards to log hours that are already known
  • Re-typing project codes from memory
  • Hitting validation errors at the last step ("hours must total 40 — you submitted 39.75")
  • Losing form data when the session times out
  • Submitting late because the portal feels punitive enough that you procrastinate
This is not an HR-team problem. It is a tooling-layer problem.

The clean separation

Your timesheet has two parts that should never have been merged:

  1. Capturing what you worked on (calendar, Jira, calls)
  2. Submitting it in the format your HR system requires (Excel, CSV, API)
We handle capture and format. The portal still gets exactly what it wants — usually a CSV upload or an Excel file matching their template — but you never type into the portal directly.

What FillTheTimesheet exports

  • Excel with custom column layouts (we will match your template)
  • CSV for portals that prefer flat imports
  • PDF for client-facing invoices and approvals
  • Direct API push to several common HR systems (and growing)
The result: you do five seconds of "click upload" instead of 25 minutes of "click, dropdown, type, repeat."

What competing tools rarely solve

Many time trackers stop at "we have a CSV export" and call it done. The CSV is then unusable because the columns do not match your portal's import schema. Format matters as much as content.

We treat export templates as a feature, not a checkbox. Send us your portal's required format and we will generate it exactly.

A practical first step

Do not change anything about how your HR system works. Keep using Workday, BambooHR, ADP, or whatever your team standardizes on. Just generate the file we hand you and upload it.

The portal stays the same. Your Friday gets twenty-five minutes lighter.
